Privacy Policy

Casa Receptions respects your privacy. This policy explains what personal information we collect, why, who it is shared with, how long we keep it, and how to exercise your rights, in accordance with Quebec’s Act respecting the protection of personal information in the private sector, as amended by Law 25.

1. Who we are

Casa Receptions operates six reception halls at 13081 boul. Gouin Ouest in Pierrefonds, Quebec. This policy applies to the personal information we collect through our website, by phone, by email, in person and through our social media pages, as well as when we organize your event.

2. Privacy Officer

The person in charge of the protection of personal information at Casa Receptions is our Privacy Officer. For any question, request or complaint:

  • Email: ogvenues@gmail.com (subject: “Privacy”)
  • Phone: (514) 624-6161
  • Mail: Privacy Officer, Casa Receptions, 13081 boul. Gouin Ouest, Pierrefonds, Quebec H8Z 1X1

3. Personal information

Personal information is any information about a natural person that allows them to be identified, directly or indirectly: for example your name, email, phone number or IP address. Information about your health, such as a food allergy, is considered sensitive and receives a higher level of protection.

4. What we collect

Through our contact form

The purpose of your inquiry, your first and last name, email, phone number, your message and, for a quote request, your event date, number of guests, preferred hall, catering preference and how you heard about us (including, if you choose to tell us, the name of the person who referred you).

When you book an event

The contact details of the person booking, event details (date, hall, schedule, number of guests, menu, decor, vendors), billing and payment information, the contract and our correspondence with you. If you tell us about dietary restrictions or allergies, we use them only to prepare meals safely. We only ask for guest names when needed (for example, for a seating plan).

By phone, email or social media

The information you choose to share when you call us, email us, or message us on Facebook, Instagram or TikTok.

Technical data

Like any website, our hosting provider automatically records IP address, browser type and pages requested, for security and to keep the site running.

Cookies

Non-essential cookies are used only with your consent (see “Cookies” below).

Children

Our website is not directed at children. We do not knowingly collect information about a child under 14 without the consent of a parent or guardian.

We only collect the information that is necessary for the purposes described.

We collect your information directly from you, with your consent, and tell you at the time of collection how it will be used. Consent is requested clearly and separately for each purpose. For sensitive information, such as an allergy, your consent is express. You may withdraw your consent at any time by writing to us; this may, however, prevent us from providing certain services (for example, we can’t answer an inquiry without a way to reach you).

6. How we use it

  • To answer your inquiry, call you back and prepare a quote;
  • To prepare your contract, plan and host your event, and coordinate with your vendors at your request;
  • To invoice, collect payments and meet our legal, tax and accounting obligations;
  • To keep our guests, premises and website safe and secure;
  • If you consent, to measure website traffic and how well our ads work.

We do not sell or rent your information, and we do not use it to send you advertising or newsletters. We make no decisions based solely on automated processing and do no profiling without your consent. We will not use your information for any other purpose without your consent, unless the law allows it.

7. Photos and videos

We sometimes photograph or film our halls and set-ups, including for our website and social media. We do not publish photos or videos in which guests can be recognized without the consent of the people concerned (or of the event host, who agrees to inform their guests). If you appear in a published image and would like it removed, write to us and we will remove it promptly.

8. Who has access

Only members of our team who need it to handle your inquiry or event have access. We also use the following service providers, who are bound by confidentiality obligations:

  • Our web hosting provider: hosts the website and contact form;
  • Google (Gmail): receives and sends email;
  • Google Maps: the map at the bottom of our pages is provided by Google, which may collect your IP address and set its own cookies under its privacy policy;
  • Google Analytics and Google Ads: only if you consent;
  • LightWidget / Instagram: only if you allow external content;
  • Your event vendors (caterer, DJ, decorator, etc.): only the information needed, and only at your request;
  • Our professional advisers (accountant, insurer, lawyer) when needed, and authorities where required by law.

9. Outside Quebec

Some of our providers, including Google, may store information outside Quebec, including in the United States. Before communicating personal information outside Quebec, we assess whether it will receive adequate protection, in particular in light of generally recognized principles of personal information protection.

10. Retention

  • Website inquiries (and the related emails): 24 months, then deleted if no event was booked;
  • Event files and accounting records: as long as needed to meet our legal and tax obligations (generally 6 years after the end of the year they relate to);
  • Dietary restrictions and allergies: deleted after your event;
  • Statistics data: for the durations shown in the cookie table.

At the end of the retention period, information is securely destroyed or anonymized.

11. Security

We take reasonable measures to protect your information against loss, theft and unauthorized access: an encrypted connection (HTTPS) across the whole site, storage of inquiries outside the public part of the server, access limited to authorized people, and password-protected accounts. Since no system is perfectly secure, please do not send credit card information by email or through the contact form.

12. Cookies

Non-essential cookies are off by default. They are only turned on if you accept them in the banner, and you can change your mind at any time with Cookie settings (also at the bottom of every page). When you refuse or withdraw consent, we delete the Google cookies our site had already set.

13. Your rights

At any time, you may:

  • access your personal information and receive a copy;
  • receive your information in a structured, commonly used technological format (portability);
  • have inaccurate, incomplete or ambiguous information corrected;
  • withdraw your consent or ask us to delete information that is no longer needed;
  • ask us to stop disseminating or to de-index information, where the law provides for it;
  • know what information we hold, for what purposes, who has access to it and how long it is kept.

14. Making a request

Send your request in writing to the Privacy Officer (section 2). To protect your information, we may verify your identity before acting on it. We will respond within 30 days. Access is free of charge, although reasonable fees may apply for transcription, reproduction or transmission; we will tell you in advance. If we refuse a request, we will explain why.

If you are not satisfied with our response or with how we handle your information, you may file a complaint with the Commission d’accès à l’information du Québec.

15. Incidents

We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we will promptly notify the people affected and the Commission d’accès à l’information, and take the necessary steps to limit the consequences.

Our site links to third-party sites and services (Google, Facebook, Instagram, TikTok, etc.). When you use them or contact us through them, their own privacy policies apply. We encourage you to read them.

17. Governance

We have adopted internal practices that govern personal information throughout its life cycle: our staff’s roles and responsibilities, retention and destruction, handling of complaints and requests, and incident management. Our team members are made aware of their confidentiality obligations.

18. Changes

We may update this policy, for example if our practices or the law change. The date of the latest update appears at the top of the page; significant changes will be clearly indicated on the site. This policy is also available in French.
